For hotels, guesthouses and restaurants

A reception desk that answers even at one in the morning.

Guests don't ask during business hours. They ask on the road, in the evening and at weekends — and if nobody picks up, they call somewhere else. A digital assistant takes the call and the message when reception is closed or already busy.

Where hospitality struggles

Three situations every reception knows.

These aren't exceptions. This is ordinary operation — it's just rarely talked about.

SITUATION 01

The phone rings while a guest is standing there

A guest in front of you with a question, a ringing phone beside you. One of them waits — and that one remembers.

SITUATION 02

Questions that repeat every single day

Parking, breakfast times, arrival times, pets allowed or not. The answer is always the same.

SITUATION 03

No answer — so they call elsewhere

A missed call outside opening hours isn't just a missed call. In hospitality it is almost always a booking somebody else received.

A day in operations

Guests don't ask when you have time to answer.

Hospitality has its own rhythm, and questions arrive exactly against it.

MORNING

Departures and breakfast. Reception is busiest precisely when the first questions arrive.

AFTERNOON

Arrivals and check-in. The phone rings in the middle of handing over a room.

EVENING AND NIGHT

The guest is travelling and needs to sort out a late arrival, parking or a room number. Reception is often already empty.

SEASON

Enquiries come in waves driven by holidays and local events. The rhythm changes; the team does not.

Channels by weight

In hospitality the phone decides.

We build a separate digital assistant for each channel. In hospitality the order differs from retail — voice comes first.

📞

Phone

STRONGEST

A guest deciding on a booking calls. And they call at times when reception isn't running.

  • booking and availability questions
  • late arrival and key code handover
  • parking, breakfast, pets
  • changing or cancelling a booking
  • calls outside opening hours

Web

STRONG

The website is where the guest decides. The assistant works there in two modes.

Text mode

Answers questions about rooms, facilities and cancellation, shows free dates and takes the guest to a booking.

More about this assistant →
Voice mode

The same by voice. Useful for guests on a phone who don't want to fill in a form.

More about this assistant →
  • free dates and room types
  • what is included and what isn't
  • cancellation terms
  • questions about the area and transport

Social media and chat

STRONG

Accommodation and restaurants are chosen by eye. The question therefore often arrives right under a photo or in a DM.

  • availability question in an Instagram DM
  • table booking through Messenger
  • WhatsApp for international guests
  • LiveChat on the site while deciding

E-mail

SUPPORTING

In hospitality e-mail mostly carries confirmations and details rather than first contact.

  • booking confirmation and changes
  • invoices for corporate guests
  • group and corporate enquiries

How it looks in practice

A table booking with a dietary requirement.

The guest writes outside opening hours. The assistant checks capacity, books the table and passes the note to the kitchen.

When assistants share context

The guest never explains the same thing twice.

Every channel has its own assistant. In hospitality it pays off most to connect web and phone.

On the website

The guest asked about a room with a view and about a late arrival.

By phone that evening

They call to say they'll arrive after midnight. The phone assistant already knows which booking.

Result

The guest repeats no name, date or request. In the morning reception sees both together.

Connecting is an option, not a requirement. Most properties start with the phone and add another channel later.

Connections

The assistant works with your availability and rates.

We connect to the reservation and operational systems you already use. If a system has a public API, connecting it is a matter of configuration.

What the property gains

Concrete changes, not general promises.

What changes first in the day-to-day running of a property or restaurant.

No unanswered call

When reception is closed or busy, somebody still picks up. In hospitality that is usually a booking.

Bookings outside opening hours

The guest doesn't wait until morning. The date is agreed while they are still deciding.

Fewer repeat questions

Parking, breakfast and check-in stop eating reception's time.

An answer in the language the guest writes in

An international guest gets a reply immediately, without waiting for a colleague who speaks the language.

Notes that reach the right place

A dietary requirement, a late arrival or a cot gets recorded on the booking.

A calmer season

A wave of enquiries around holidays and local events needs no extra pair of hands at the desk.
